CIRES currently has an immediate need for a Finance and Operations Administrator. This position is part of the accounting team and will provide core bookkeeping and administrative support to CIRES and WCM. You will:

  • Maintain office services by organizing office operations and procedures, designing filing systems, sourcing and managing suppliers, and performing clerical functions
  • Track office supplies inventory and reorder when necessary
  • Supports IT management – administers systems, laisse with our IT support for troubleshooting
  • Accounts receivable - Prepare monthly corporate sale spreadsheet and send sales invoices from within bookkeeping software. Check customer payments and make cheque deposits
  • Accounts payable - Enter purchase invoices into Sage, reconcile bills to statements, process payables report, request payment authorization from management and issue payments
  • Review and post all credit card transaction, employee expense reports and petty cash report
  • Perform monthly bank account reconciliations and review the general ledger
  • Update inventory quantities on Shopify and report back on cost discrepancies
  • Prepare monthly Landlord Cost Spreadsheet
  • Accounting document management – file documents as per established procedures
  • Assist in budget cycle activities on specific priorities

You have:

  • A minimum of 1 year of bookkeeping and/or accounting experience. Non-profit or social enterprise organization experience is an asset
  • Excel proficiency
  • An accounting diploma or demonstrated equivalent knowledge and experience
  • Superb organizational, administrative and time management skills
  • Knowledge of property management accounting would be an asset
  • Familiarity with or exposure to accounting systems especially Sage 50 would be considered a strong asset
  • Good written and oral communication
